Almost Everybody in This Archive Had One Copy

Her enquiry contains an apology before it contains a symptom. A drive she has kept all her files on: "it was silly of me to not be keeping a backup of files on other drives." That sentence, or a version of it, appears in a large share of the enquiries in this archive — and it is worth saying plainly that single-copy storage is the ordinary condition rather than a personal failing, and that the reproach helps nobody make a good decision now.

The decode: why the confusion is built into the words

Where the guilt comes from: everybody has been told to back up, and she believes she did not. What almost nobody is told is what a backup actually is, which is where the difficulty starts.

The distinction that matters: a backup is a second copy of something that exists somewhere else. A drive holding the only copy of your files is primary storage, regardless of what it is called, what it was sold as, or what folder is on it. Moving files onto an external drive and deleting them from the computer does not create a backup — it relocates the original.

Why the marketing makes this worse: external drives are sold as backup drives. The word is on the box. So people who bought one, used it as instructed, and moved their photographs onto it reasonably believe they have done the thing they were told to do. They have one copy on a device named after having two.

Why the reproach is actively unhelpful right now: somebody who feels foolish makes hurried decisions. They keep plugging the drive in to check whether it has recovered. They run software they found in a search. Guilt produces exactly the behaviour that turns a recoverable fault into a worse one, which is the practical reason to set it aside rather than a kind one.

What to do instead, and it is the whole of it: stop connecting it. Whatever the fault, repeated attempts do not improve it, and the position today is better than the position after another six attempts.

The rule worth taking away afterwards, which is simpler than any advice about backing up: count the copies. Not devices, not drives, not folders — copies of the actual thing, in different places. If the answer is one, it is not backed up, whatever the device is called. If the answer is two and they are in the same room, count again after imagining a burst pipe.

Why that formulation works better: it is a question with a number for an answer, asked about the material rather than the hardware. Everybody knows what "back up your files" means and almost nobody knows whether they have done it. Everybody can count to two.
